Primary Accountability is to provide business leadership to Smile Theatre and to ensure quality of operations and integrity. The appropriate candidate should have extensive theatre business experience and demonstrate strong operational and organizational abilities.
Jointly accountable with the Artistic Director to:
Uphold Smiles vision, values, mandate and operating framework
Build the strength and capability of Smile
Effectively build the profile and image of Smile
Ensure the development and sustainability of Smile
Appropriate candidates for both roles should have;

Accountable for:
Participating in the development of the vision, values, mandate and overall strategy for Smile Theatre
Leading the operational strategy for Smile Theatre
Communicating the vision, values, mandate and strategic direction of Smile Theatre

Accountable for:
The effective and efficient operation of all administrative functions of the theatre: Finance & Accounting
Information Systems
Human Resources
Scheduling & Bookings
Marketing (Joint with Artistic Director)
Fundraising (Joint with Artistic Director)
in accordance with standards, policies, and practices set forth by the Board of Directors of Smile Theatre.
Business Planning, Monitoring, Accounting & Reporting
Shares accountability with the Artistic Director for:
Developing the annual operating budget, capital budget, marketing plan, talent plan
Achieving all approved budgets and plans
Implementing corrective strategies when there is a budget/plan variance to ensure the overall achievement of objectives.
Accountable for:
Monitoring of all budgets and plans and preparing required reports; create and track cash flow, create and maintain overall company budgets, all payroll requirements, accounts payable and receivables
Working effectively with the Finance Committee of the Board of Directors
Information Systems
Accountable for:
Ensuring that adequate systems are in place to monitor major processes of the company; financial, payroll, scheduling, fundraising, etc.
Human Resources
Accountable for:
Ensuring that appropriate contracts are in place for all individuals employed by Smile Theatre Individuals contracted by Smile Theatre are paid in accordance with provincial employment standards and Canadian Actors Equity Association
Communicating appropriate context, standards and authority levels to all individuals contracted to Smile Theatre
Establishing effective working relationships with members of Smile Theatre: Soliciting their views, discussing potential changes affecting their work, identifying opportunities for improvement and providing them with opportunities to further develop their skills and knowledge
Building and sustaining a high performing team who are capable of delivering Smile productions that meet the goals of the Company and satisfy the audience
Promoting and optimizing teamwork: Clearly articulating the linkages between artistic, technical and administrative roles and setting the context in which they work with one another
Managing performance of Administrative Coordinator: Setting goals and objectives, assessing skills and knowledge gaps, allocating resources to close gaps, as required
Assessing performance through feedback and coaching
Marketing
Accountable for:
Building the Smile Theatre brand in accordance with our vision, values and mandate
Promoting artistic outreach through touring and co-productions with other theatre companies and/or individual artists
Developing and producing all promotional and publicity materials
Representing Smile Theatre in the external marketplace in accordance with the values and views of the Company.
Acting as a spokesperson on matters related to Smile Theatre in accordance with Smile Theatre policies, practices and standards.
Box Office
Accountable for:
Booking all performances Accurately and timely reporting on status of box office
Fundraising
Accountable for:
In conjunction with the Artistic Director and Fundraising Committee of the Board, develop philosophy and goals for fundraising strategy and plans
Communicate with donors and subscribers throughout the season, building strong elationships and soliciting their continued support and investment in Smile Theatre
In conjunction with the Artistic Director, identifying opportunities for increased funding through government grants, foundations, corporations and individuals
Working with the Artistic Director in the preparation of annual operating grant applications to all three levels of government
Working with the Artistic Director, prepare all grant applications, as required
Meeting with the various officers of councils and other funding bodies (ie. corporations and foundations) in order to develop, maintain and/or further build strong and lasting relationships
Vendor/Supplier Management
Accountable for:
Negotiating and entering into agreements and contracts on behalf of Smile Theatre including:
- Actors and stage management
- Insurance coverage
- Canadian Actors Equity Association
- Office, storage, rehearsal space
- Service agreements on equipment and systems
General Administration
Accountable for:
Ensuring that all administrative policies, processes and systems are documented and in good working order
